Using the Leave Calendar in Ace Payroll


Under the Holidays Act 2003 it is important to identify actual dates taken for all leave types. How do I do this in Ace Payroll?

  • Understanding how to record actual dates taken for leave is important.

  • When paying Holiday Pay, Sick Leave, Bereavement Leave or Alternative Holidays Taken a calendar appears asking you to select the days taken.

  • The calendar does not appear when dealing with Public Holidays Worked or Taken as Ace Payroll automatically senses the presence of a public holiday within a pay period.

Shown below is the Leave Calendar, in this case for Bereavement Leave Taken.

Note the current pay period is highlighted with a border. In the above example, the period is bi-monthly.

Colour Coding

The calendar is colour coded for ease of use.

Red - Public Holiday
Public Holidays that are definitely observed by the employee are marked red, as is Queen's Birthday in the above example.

Green - Regular Day
Ace Payroll knows this is a regular working day because you have entered an Employee Leave Profile for this employee. Entering an Employee Leave Profile assists Ace Payroll in calculating in accordance with the Holidays Act 2003.

White - Unsure
These days fall in the pay period, but Ace Payroll is unsure if it is a normal working day - usually because you haven't entered an Employee Leave Profile.

Yellow - Weekend
These are Saturdays or Sundays that are not marked as normal working days.

Light Blue - Background
These days are not part of the pay period.

Brown - Day Off
This day has been marked as a day off in the employee's Leave Profile.

Maybe Pub Hol
By entering an Employee Leave Profile, and selecting the Provincial Anniversary Day observed by the employee, all public holidays that apply to an employee can be predicted with certainty.

If an employee works irregular days, or a leave profile is not entered, then any days that could be public holidays are identified with this color.

To allow leave, click days taken. In the example above, to allow Bereavement Leave for Tuesday, Wednesday and Thursday, simply click each of the three days on the calendar.

Ace Payroll highlights each day taken with a relevant icon.

If you are paying three days, simply click Next.

If any of the days are part days, click the day a second time and the following screen is shown

From here, select a partial day.
